Position Summary
Responsible for the coordination of logistical and administrative details for multiple, complex and widely distributed educational events, statewide webinars, meetings, and annual member events for the Florida Hospital Association, and its more than 200 member hospitals. Assist in assessing program goals, estimate facility, equipment, logistical, and catering requirements, assist in developing program budgets, and monitor and administer service contracts. Association and or public relations experience is preferred.
Essential Duties and Responsibilities
• Manage intake and calendar scheduling of reoccurring and on-demand online meetings, webinars, committee meetings, educational offerings and series, and in-person education event notifications and coordination.
• Intermediate-level knowledge of executing ZOOM platform meetings and webinars to schedule and facilitate.
• Manage the scheduling of email announcements, reminders, and follow-up communications on each event, tracking CE offerings, managing the CE Broker account, and issuing certificates of attendance.
• Assist in scheduling and follow-up communications with Agency partners, professional sponsors, Hospital leadership, other associations when partnered.
• Work with all departments of Quality, Clinical, Governmental Affairs, Communications, Finance, and executive teams to draft, edit, proofread and monitor all education and event-focused communications.
• Familiar with AP style format writing for specific audiences, ensuring brand consistency and proofread for quality.
• Exceptional customer service and highly developed organizational skills required.
• Work on other special projects, as assigned. Some travel may be required.
Qualifications
A bachelor’s degree with a minimum of two years of experience in professional event and education planning and scheduling; Requires excellent written and verbal communication and analytic skills. Experience in Association education and event planning, public relations, communications, or marketing preferred.
