Thomas Howell Ferguson P.A. The firm is headquartered in Tallahassee with additional offices in Panama City and Tampa, Florida, as well as Bainbridge, Georgia. We are currently seeking an individual looking to accept the engaging and fulfilling role as an Event Planner in our Tallahassee office. If you are highly organized and enjoy the creative process of planning and executing a variety of corporate events, then this is the perfect role for you!

This position works collaboratively as a member of the THF’s Marketing & Business Development team and reports directly to the Director of Marketing & Business Development. The perfect person for this role has a strong background in event planning, possesses exceptional attention to detail, and can multitask effectively. As an Event Planner, you will play a pivotal role in enhancing our firm’s brand image and creating memorable experiences for our clients, employees, and business partners.

• Bachelor’s degree in Event Management, Marketing, Hospitality, or a related field (preferred).
• Demonstrates accurate, thorough, effective, and completed work within the prescribed time frame.
• Possesses exceptional organizational skills and is an effective time manager and multi-tasker.
• Able to set priorities, anticipate problems, plan, schedule, control, and complete the work assigned.
• Proficient with researching, gathering data, critical thinking, and problem-solving.
• Able to work independently and with a team.
• Possesses exceptional interpersonal and communication skills to collaborate effectively with internal teams, clients, and external vendors.
• Must take the initiative to help research and develop additional opportunities.
• Must demonstrate creative and professional writing skills.
• Proficient in Microsoft 365, Canva, In Design, Hubspot, WordPress, etc. and can adapt and learn various websites quickly.
• Has budgeting and financial management skills.
• Possesses creativity and has a keen eye for attention to detail, design, and aesthetics.
• Has flexibility to work outside of regular business hours and travel, as required.
• Able to learn new things quickly.
• Due to the nature of the role, including but not limited to the responsibility for event set-up and breakdown, the ability to lift 20 lbs. is required.
Essential Duties and Responsibilities:
1. Event Planning and Execution:
• Collaborate with key stakeholders to conceptualize, plan, and execute a wide range of corporate events, including student leadership programs, conferences, client appreciation events, and general social gatherings.
• Determine event objectives, themes, budgets, and timelines in line with the firm’s brand and business goals.
• Source and negotiate contracts with vendors, including venues, caterers, audio-visual providers, and transportation services, ensuring high-quality services within budgetary constraints.
• Coordinate all logistical aspects of events, such as guest lists, invitations, RSVPs, event registration, seating arrangements, travel arrangements, and accommodations.
• Manage event setup, including decorations, audio-visual equipment, signage, and other necessary materials.
• Oversee event operations on-site, ensuring smooth execution, troubleshooting issues as they arise, and providing exceptional client service.
2. Budgeting and Financial Management:
• Develop and manage event budgets, ensuring cost-effective planning and resource allocation.
• Track event expenses, review vendor invoices, and reconcile budgetary accounts.
• Identify potential sponsorship opportunities and coordinate with marketing and finance teams to secure sponsorships or partnerships, maximizing financial support for events.
3. Marketing and Branding:
• Collaborate with the shareholders and other team members to develop event marketing strategies and promotional materials, including invitations, event websites, social media campaigns, and press releases.
• Ensure consistent branding and messaging across all event collateral and communication channels.
• Leverage social media platforms and other relevant channels to generate interest, engage attendees, and increase event visibility.
4. Post-Event Evaluation and Analysis:
• Conduct post-event evaluations to assess event success, collect feedback from participants, and identify areas for improvement.
• Prepare comprehensive reports on event outcomes, including attendance, budget performance, participant satisfaction, and ROI.
• Analyze event data and use insights to refine future event strategies and enhance attendee experiences.
This is an in-person at the office working role. You’ll find that between our regular team meetings, annual Firm Forum, and participation in office-wide events, we are committed to staying connected as a team.
