This is a highly professional position with tasks for this position including:

The ability to answer, screen, and route telephone calls as needed to the proper staff members within the Agency for Persons with Disabilities State office, regional office, centers, as well as other appropriate agencies/departments. Should track number and type of calls received.

Responsible for the direction and coordination of the Correspondence function in the Communication’s Office for the Agency for Persons with Disabilities. Position is also responsible for designing and implementing a system for coordinating and tracking Department correspondence system. Reviews all incoming correspondence. Analyzes and assigns items to appropriate staff and those requiring the personal attention of the Director. Reviews, routes, and assigns all incoming and outgoing correspondence, including Governor’s Office correspondence, to ensure accuracy and timeliness of response. Provides technical assistance to Central Office and Area staff in responding to these assignments. Reviews, edits and approves all responses and those for the Director’s signature. Receives, opens and date stamps all incoming Correspondence office mail and routes to appropriate staff member. Enters assignments into the Correspondence Tracking System as needed. Copies and distributes assignments to the office/district assignments. Verifies assignment district folders. Responds to routing questions and redirect referrals.

Serves as the administrative support for the Communications Office, especially the director. Handles purchasing, and travel as needed. Determines supply needs for the office and completes purchasing requisitions. Inspects items to ensure accuracy and complete receiving reports. Works with vendors in the event of inaccurate or defective materials are received and ensure the issue is resolved.

Supervises and plans workloads of employee directly reporting to this position; oversees and ensures the accuracy of tasks as directed.

Develops and writes agency success stories and other publications as needed.

Assists in developing internal and external communications plans in keeping with the agency’s objectives.

Assists in the agency’s press relations and maintains media database with updated information.

Assists with photography, video production, and editing of agency materials.

Creates and schedules social media content.

Assists with disseminating news stories to the agency.

Performs other duties as assigned.

Qualifications

Must possess a bachelor’s degree in Public Relations, Journalism, Telecommunications, English, Communications, or related fields from an accredited university or college

Must have experience answering general inquiries by phone or email

Must be willing and able to communicate effectively, both verbally and in writing

Accredited in Public Relations (APR) credential preferred

Position may require some travel to surrounding areas; applicant must be willing and able to travel for work purposes.
